Workplace Mental Health Systems Review
Make sure your mental health support works when someone actually needs it.
Many organisations have Mental Health First Aiders, wellbeing policies and access to support services. But when an employee says, “I’m struggling,” uncertainty can quickly follow. Who takes the lead? What should the Mental Health First Aider do? When does HR become involved? What gets documented? How does someone access the right support?
Our Workplace Mental Health Systems Review helps organisations answer those questions before they become real problems. We review the people, policies, procedures and support systems sitting behind your workplace mental health approach, helping make sure everyone understands their role and knows what happens next.
Why organisations choose this review
Training your people is only one part of creating a mentally healthy workplace. The real difference comes when your Mental Health First Aiders, managers and HR teams understand how they work together and have clear processes to follow.
This review can help you:
Create a clear pathway when someone needs support
Give Mental Health First Aiders confidence about what happens after the conversation
Make sure managers understand their responsibilities
Strengthen communication between First Aiders, managers, HR and leadership
Identify gaps, duplication or uncertainty within your current approach
Create a more consistent and supportive experience for employees
The result is a workplace where people know what to do rather than having to work it out when a difficult situation arises.
What we'll review together
Every organisation is different, so the review is tailored around the way your workplace operates. Depending on your organisation, we can look at:
- Mental Health First Aider roles and boundaries
- Manager and HR responsibilities
- Mental health and wellbeing policies
- Sickness absence and return to work
- Reasonable adjustments and ongoing support
- Equality, diversity and inclusion
- Bullying, harassment and grievance procedures
- Confidentiality and record keeping
- Escalation routes for serious concerns or suicide risk
- EAP, occupational health and external support
- Communication and support during periods of absence
We’re not just asking whether a policy exists. We’re asking whether people understand it, whether the different parts connect and whether it works when someone actually needs support.
A practical review, not just a paperwork exercise
We can work through real workplace scenarios and test how your organisation would respond. For example:
“An employee tells a Mental Health First Aider they’re overwhelmed and having thoughts of suicide. What happens next?”
Who takes responsibility? Who needs to know? What can remain confidential? What gets recorded? Where does the employee go for help?
“A manager notices someone is struggling, but the employee doesn’t want HR involved. What are the next steps?”
Working through situations like these can uncover gaps and uncertainty that aren’t always obvious from reading a policy document.
Delivered in the way that works for your organisation
The review is flexible and can be delivered around the needs of your organisation.
On-site review and workshop
We work directly with your Mental Health First Aiders, HR team, managers and leadership to understand your existing systems, follow your processes and identify where they could be strengthened.
Remote review
Send us your relevant policies, procedures and supporting documents and we'll review them independently, identifying strengths, gaps and areas that may need attention. We can then meet with your team to discuss our findings and recommendations.
A combination of both
For some organisations, the best approach will be a combination of document review and working directly with the people responsible for delivering mental health support.
Follow-on from training
If we've already delivered First Aid for Mental Health training within your organisation, this can be a natural next step. It helps connect the skills your First Aiders have learned with the systems and processes they'll need when they actually support someone.

Not sure which approach fits your organisation?
What you'll receive
Every review is specific to the organisation rather than an off-the-shelf report. Depending on the scope of the review, this can include:
- Review of your existing workplace mental health support framework
- Identification of strengths and areas for improvement
- Gaps or uncertainty within existing systems
- Recommendations for strengthening policies and procedures
- Clearer roles, responsibilities and escalation routes
- Recommendations for improving communication and employee support
- Priorities and practical next steps
Workplace Mental Health Support Pathway
Where appropriate, we can also help develop a clear Workplace Mental Health Support Pathway. This gives Mental Health First Aiders, managers and HR a practical framework showing what happens when someone needs support, who becomes involved and where responsibility sits.
Turn good intentions into a clear plan
Supporting mental health shouldn’t rely on one confident manager or one brilliant Mental Health First Aider knowing what to do. It needs a system behind them. Our Workplace Mental Health Systems Review helps connect your people, policies and processes so that when someone needs help, everyone knows what happens next.
